Program Manager – Therapeutic Playroom (Bilingual)

OVERALL SUMMARY


The Program Manager, Therapeutic Playroom manages the Children’s Playroom to support children ages 0- 12 in developing socio-emotional skills in a child-led, trauma-informed, play-based space. The Program Manager, Therapeutic Playroom develops and implements services and standards to ensure families are building Protective Factors. The Program Manager,

Therapeutic Playroom directly supervises 2-3 Playroom Caregivers and all Playroom volunteers, responsible for their onboarding, training, and supervision. This position reports to the Senior Program Manager of Parent and Child Education.

ESSENTIAL FUNCTIONS
Program Administration

  • Ensure the Playroom is fully staffed, coordinating between staff and volunteer schedules and availability.
  • Ensure the Playroom’s health and safety standards are maintained and on par with the department of public health.
  • Ensure In-Kind donations of children’s clothing, toys, and other parenting equipment are accepted and distributed in collaboration with other teams.
  • Delegate coordination to Playroom team members as-needed.
  • Oversee orientation to Playroom services and protocol for new families.
  • Consult with other teams as necessary about client issues and family referrals.
  • Manage forms and other data collection materials pertaining to attendance, program outcomes, and other services to meet program needs.
  • Ensure all data pertaining to the program is entered accurately and timely.
  • Lead weekly meetings with Playroom staff and on-going check-ins with volunteers to discuss behavioral and developmental concerns of visiting children.
  • Ensure Playroom is fully stocked with all essential program supplies, such as snacks, arts & crafts materials, food prep supplies, etc. May delegate coordinating tasks to other team members.
  • Assist with organizing community events and other outreach efforts as needed.
    Program Development
  • Ensure the Children’s Playroom Manual and all volunteer training materials are up-to-date with current best practices in child development and positive discipline.
  • Develop, improve, and maintain Playroom program protocols, systems, and procedures to ensure programmatic goals, and health & safety needs are met.
  • Strategically evaluate volunteer training and management to implement new ideas and streamline processes.
  • Continue to develop and implement the Playtime Together curriculum.
    Program Leadership & Supervision
  • Stay informed about current issues and evidence-based best practices regarding parenting & child development.
  • Develop services needed by families to support their knowledge of parenting, child development, and their children’s social and emotional competence.

  • Supervise 2-3 Playroom Caregivers, providing support for working with children and families, and accountability for their overall professional development.
  • Manage the training, onboarding, and supervision of Playroom Caregivers and volunteers.
  • Ensure their professional growth and competencies in the ways of supporting children’s social and emotional development is continually developed.
  • Attend and participate in regular staff meetings, 1-on-1 supervision meetings, department trainings (TalkLine training, Playroom training, etc)
    Client Services & Support
  • Ensure the Playroom provides a safe space for building children’s social and emotional skills, and nurtures families protective factors.
  • Ensure the Playroom provides a warm, welcoming environment for all families participating, regardless of race, ethnicity, religion, gender, ability, socio economic background, or any other marginalized or protected group.
  • Collaborate with the Children & Family Services department to ensure the Playroom program is accessible and responsive to the changing needs of families.
  • Care for children utilizing child-led play, art media, and dramatic play to support the children’s social, emotional and physical development.
  • Provide for children’s basic needs while in care including but not limited to changing diapers, preparing meals, and feeding.
  • Facilitate developmental growth for children by identifying developmental concerns. Help children to improve peer relationships, regulate emotions, and express their needs appropriately.
  • Manage an environment where parents can experience shared positive emotions and interactions with each of their children.
  • Support the parent-child relationship by helping parents with any concerns they might have in parenting, and provide referrals as-needed.
  • Assist parents in playing with their children, listening to their children, and following their children’s leads.
  • Communicate with other program staff and interns regarding family needs and participate in developing action plans to provide a holistic response.
  • Work with the Parent & Child Education team to support our weekly Family Dinner in the Playroom.
  • Work with the Playroom team to oversee the direction and implementation of Playtime Together.

    Volunteer Program Management
  • Collaborate with the Volunteer & Community Engagement Manager to ensure effective volunteer recruitment, engagement, and retention.
  • Lead volunteer trainings, schedule, and onboard all volunteers.
  • Ensure the training program is up-to-date with current best practices in child development and positive discipline. Supports new volunteers in preparing to work effectively with children.
  • Evaluate and monitor performance of volunteers. Address any performance or attendance issues as needed.
  • Develop and improve volunteer program systems and protocols. Update program literature to incorporate new aspects of volunteer programs.
  • Coordinate annual volunteer appreciation efforts.

ESSENTIAL QUALIFICATIONS

  • Proficiency verbal and written in English and Spanish.
  • Undergraduate degree in child development, psychology, social work, or a related field or 5 years experience in working with children in classroom or childcare settings.
  • Minimum 4 years experience working with children in a group setting.
  • Experience supporting parent-child relationships in a classroom or childcare setting.
  • Experience supervising staff and nurturing professional growth.
  • Ability to be flexible, punctual and reliable.
  • Ability to work with diverse staff and client populations.
  • Demonstrated experience in volunteer coordination &/or supervision.

Program Coordinator – Care Management (Bilingual)

OVERALL SUMMARY


This position is responsible for providing direct care management services to families enrolled in our Supportive Family Services Program through the Family First Prevention Services Act (FFPSA). FFPSA was signed into law as part of Public Law (P.L.) 115–123 and has several provisions to enhance support services for families to help children remain at home, reduce the unnecessary use of congregate care, and build the capacity of communities to support children and families.

The law enables states and territories to use funds for prevention services, such as:

  • Evidence-based mental health programs
  • Substance abuse prevention and treatment
  • In-home parent skill-based programs
  • Kinship navigator programs

In addition to providing direct care management to FFPSA families referred from the Child Protective Services (CPS) hotline, this position will hold as the primary Program Coordinator during our Parent Drop-In program, Family Events, and other Supportive Family Services. This position is fulltime and employment is contingent upon the availability of funding. In the event that funding is reduced or discontinued, this position may be modified to a part time role (approximately 50% FTE).

ESSENTIAL FUNCTIONS
Care Management

  • Maintain a direct caseload of clients, providing individualized, client-centered care while balancing supervisory and program responsibilities.
  • Participate actively as a member of monthly Case Conference meetings and attend monthly meetings accordingly
  • Maintain regular contact and communication with Program Associates, Program Manager, Care Management and the Sr. Program Manager, Care Management.
  • Collaborate with Program Associates and other service providers to provide care management, information and referral to FFPSA families, in keeping with their agreed-upon service plans.
  • Provide time-limited supportive counseling, crisis counseling, and/or case management to families, as needed
  • Performs intakes for FFPSA referrals, making referrals, and providing drop-in counseling during Parent Drop-in program
  • Serves as Coordinator of the Day for the Parent Drop-In program as needed. Provides oversight and coordination of the Parent Drop-In program, including supporting other staff and interns providing drop-in services.
  • Assists and supports our Parent Drop-In program as needed including helping set up and break down.
  • Coordinates family support center services including Food Pantry, Emergency Needs Support, information and referrals.
  • Attend, support, and supervise family events including holiday, seasonal events, periodic workshops as well as educational activities (may require some evening and weekends).

General Program Operations

  • Maintain accurate and up-to-date records of all services provided, ensuring compliance with legal, regulatory, agency, and funding requirements.
  • Attend staff meetings, trainings, and other professional development activities as directed by the supervisor.
  • Assist with the collection, tracking, and reporting of program data to monitor family progress toward outcomes and support continuous program improvement.
  • Ensure compliance with HIPAA and agency confidentiality policies, handling protected health information and sensitive client data with care, discretion, and in accordance with legal and organizational standards.

ESSENTIAL QUALIFICATIONS

  • Proficiency verbal and written in Spanish Required.
  • Associate’s Degree in counseling, psychology, social work or other related field preferred
  • At least two (2) or more years of relevant experience preferably in a non-profit social service environment
  • Knowledge of community resources in San Francisco, cultural competency practices
  • Previous experience working with youth and their families that are underserved, marginalized and high risk with trauma histories strongly preferred.
  • Ability to build effective working relationships with staff, set clear expectations, and provide both positive and negative feedback in a timely manner.

Events Manager

OVERALL SUMMARY


The Events Manager is responsible for developing and implementing engagement and fundraising events to enhance and grow revenue from current and prospective donors. In this role, the Events Manager will oversee the planning, logistics and execution of events related to Development and ensure a smooth and successful experience for guests and donors. Paramount to this position is the ability to work with a high degree of independence, and juggle various projects at once, while maintaining a clear view of how each project supports the organization’s mission. This position reports to the Chief Development Officer and will work closely and collaboratively with the CEO as well as board members and other external stakeholders.

ESSENTIAL FUNCTIONS
Events

  • Principal responsibility for fundraising and cultivating events for individual donors, corporate donors and prospects.
  • Events include, but not limited to: Annual Blue Ribbon Celebration raising $1.5M+, April Child Abuse Prevention month activities, quarterly Lunch & Learn series, donor cultivation events, Storytelling event and a new community Fun/Run.
  • Principal internal point of contact for host committee(s), steering committee(s) and sponsors.
  • Develop corporate/third party collaborations to raise awareness and increase revenue.
  • Create and manage event budgets, track expenses and ensure all costs are within allocated line items.
  • Negotiate vendor, consultant, and venue contracts, including pricing, scope, and deliverables
  • Promote and market events by developing marketing strategies, creating event collateral and utilizing social media and online platforms.
  • Develop risk management plans and determine necessary insurance coverage and permit requirement
  • Solicit in-kind donations for various events.
  • Take a lead role in day-of support with event set-up, volunteer management, and guest registration.
  • Conduct post-event evaluation and follow-up, assessing the event’s success by collecting feedback, analyzing data and preparing post-event reports.
  • Attends internal and external meetings, including workplace giving fairs and cultural/community events as required.
  • Organize and execute activities around Child Abuse Prevention month in April.

Donor Stewardship & Cultivation

  • Create value-added touchpoints for our donors throughout the year.
  • Explore companies’ corporate social responsibility and/or workplace giving objectives that align with our mission statement to create engagement initiatives and opportunities.
  • Identify and cultivate new corporate and third-party fundraising collaborations
  • Analyze donor engagement trends and recommend strategic adjustments to increase retention and giving levels.

Tracking & Reporting

  • Maintain responsibility for the donor database revenue tracking accuracy to ensure correct revenue projections and budget forecasting.
  • Analyze revenue trends and donor behavior to inform executive decision-making
  • Working with the Development Associate, provide monthly income data, forecast, and dashboard reports to the Finance Department and ensure that all data is reconciled.
  • Work collaboratively with the Director of Finance to create reports and reconcile finances for the annual audit and self-assessment processes and resolve any issues highlighted.
  • Develop and oversee risk mitigation strategies for all fundraising initiatives

ESSENTIAL QUALIFICATIONS

  • Bachelor’s degree or above. Experience in social services, child welfare, or public health is preferred.
  • Minimum of three (3) years of non-profit fundraising experience, revenue strategy or corporate partnership development.
  • Strong computer knowledge with Microsoft Office, Google Suite, and relational databases.
  • Proficiency in Salesforce, Canva, WordPress and Classy.
